CONTEXT
You know that feeling when you're driving to something you're already 12 minutes late for? Your jaw is tight. You're rehearsing your apology.
And it’s not like you were late because you're disorganized. You simply planned for a perfect, best-case version of the day.
Psychologists Daniel Kahneman and Amos Tversky gave this a name: the planning fallacy. We always underestimate how long things will take—even when we've done that exact thing a hundred times before. We plan for no traffic, no toddler meltdown, no important phone call that runs long.
The calmest people aren’t lucky. They simply build in buffer room—a little empty space that plans for things to take longer.
6 smart habits of people who never look rushed:
THE METHOD
1. Set an early deadline (before the real one)
Never write the real due date in your calendar. If something’s due next month on a Friday? Mark it as due Wednesday.
You’ll either deliver it early (which clients love) or you’ll be incredibly grateful when you realize you have two extra days to finish the thing that took longer than expected.

2. Build a meeting buffer
Stop scheduling things back-to-back. Book every meeting to end 10 minutes before the next one starts.
That 10 minutes is where you write the follow-up note while it's fresh, refill your water, and walk into the next conversation calmly instead of apologizing for your last thing running late. Change your default meeting length to 20 or 50 minutes. You’ll be so glad you did.

3. Use the 2-minute rule
If it takes less than 2 minutes, do it now. Reply to that email that requires one sentence. Fill out the form. Book the appointment.
10 two-minute tasks left undone will actually cost you more than 20 minutes. They cost you the mental weight of carrying twelve open loops around all week.

4. Practice the "one thing" ritual
End every workday by writing down your single most important task for tomorrow. One task. Not a list.
Decision-making is expensive, and you're worst at it right when you wake up. Do the choosing tonight so “tomorrow you” gets to skip straight to the doing.

5. Arrive everywhere early
It’s so much better to get there 10 minutes early than to rush. And you'll be amazed what happens in those spare minutes. Imaging having a little extra time to prep what you’re going to say. So useful, right?

6. Underestimate what fits in a day
Don't plan your calendar for your best-case energy. You will not be a fully charged battery at 4pm on a Thursday.
If you think five things will fit, schedule three. The people who never look rushed left time for the things they never could have predicted.\
CLOSING THOUGHTS
Sure, an overpacked calendar looks impressive. But if your life has zero slack in it, one flat tire ruins your entire week. And if your brain is always three appointments ahead, you're never fully present anywhere.
These habits might seem small, but they compound. Each one removes a little friction from your day, a little clutter from your mind. Stack them together, and you'll be amazed how much more peaceful your life becomes.
